Final preparation of ACCEPTED papers

1. Prepare the final version of the manuscript. For your convenience, the Style Manual and Conference Paper templates in various formats are available through the following links:

REMEMBER: the final version of a paper in the format given above CANNOT EXCEED 6 PAGES. NO EXCEPTION IS ALLOWED.


2. Register Online

You MUST register before uploading your final paper. Papers will be included in the proceedings only if at least one author has registered and paid the full registration fee by September 15, 2008. Member and non-member full fees only are acceptable for this purpose; student and other discounted fees do not qualify - no exceptions. One full registration covers only one (1) paper. To guarantee inclusion in the proceedings of more than one (1) paper, the author must pay a USD $50 surcharge for each paper in excess. If you need to register by bank transfer, please contact Chris Dyer, HAVE 2008 Administrator.

NO PAPER WILL BE PUBLISHED WITHOUT THE AUTHOR'S COMPLETED REGISTRATION AND PAYMENT.


3. An electronic version of the final manuscript must be generated for the conference proceedings.

From the final manuscript formatted as instructed above, authors must generate the electronic version in PDF format. Regardless of its initial format, the file containing the final version of the paper must be transformed in the PDF format using the IEEE PDF express web tool. PDF files generated by means of other tools are not acceptable.

To generate the IEEE Xplore compatible PDF file of your paper, follow these steps: Create your IEEE PDF eXpress account by going to: click here
and using Conference ID: have08x

The first time you access the system, please follow the link to New user. Please note that, in order to access the service, you need to allow the use of cookies from the PDF eXpress web site. Once you have registered as a new user:

1. upload the source file (containing your paper) for conversion
2. receive by e-mail the IEEE Xplore-compatible PDF of your paper. Once you’ve received your PDF file, upload it to EDAS


4. Send the electronic version of the final manuscript, complete the presenter's biography form, and submit the copyright form through EDAS by September 15, 2008 (HARD DEADLINE!).

1. Once you receive your Xplore compatible PDF, log in at www.edas.info

2. Upload you paper.

Click the My Papers tab. Click the upload icon (third column from the right) and a dialog box will open that will enable you to select and upload your paper via the web or via FTP.

3. Fill in and sign the IEEE Copyright Transfer form.
The IEEE is enforcing strict copyright rules. For your convenience, the copyright form is made available electronically through EDAS. To access the copyright form, click on the 'My Papers' tab and then click on the copyright icon under the copyright column (second column from the right). Authors who are not authorized to sign a copyright transfer form should contact the HAVE 2008 Administrator by email at cdyer@conferencecatalysts.com.

NO PAPER WILL BE PUBLISHED WITHOUT THE SUBMITTED COPYRIGHT FORM.


Submission of Paper and or Demos

This year we are soliciting demos.
2-4 pages technical description of each demo will be published in the IEEE HAVE Proceedings and digital library.

 

ABSTRACT PREPARATION AND SUBMISSION GUIDE

HAVE uses the EDAS conference management service hosted by Columbia University to collect and manage abstracts and papers. Each lead author must visit the EDAS web site and establish an account with a username and password. The lead author then logs in to the EDAS system to actually submit the abstract, and later, the paper.
Steps:

  1. Visit www.edas.info. if you do not have an account, please lick the "New User" button. Otherwise log in with your existing account information
  2. Create a profile. Only the five fields with the red asterisk are required. These fields are first & last name, affiliation (company or organization), country, e-mail address, and status. When the fields are filled in, check the "Privacy Policies" box and click the "Add Person" button. [note: if you select USA as the country, you will get a message asking for your state ]
  3. You will receive an e-mail containing your password. You can then return to the EDAS log-in page (http://www.edas.info) and change your assigned password to one that is easier to remember. To do this, click on the "My Profile" tab, and then click on "change your password". Be sure to record your user name, password and ID number for later reference.
  4. To submit your abstract, click the "Submit Paper" tab. Find HAVE 2008 among the list of active conferences and click the button in the right-most column to access the form. or go directly to: http://www.edas.info/newPaper.php?c=6587&
  5. On the next screen titled "Register a Paper for HAVE 2008", type in the title of the paper in the block and click the "Submit" button without pasting in any text (due to the size of the abstracts, they must be submitted as a PDF file). The next page you see will have a large green check mark and a statement that "the paper was registered". The last row says 'Manuscript', and has an icon of a yellow folder next to it. Click on this icon, and then you can upload your manuscript on the next page. "Manuscript" is used to refer to the PDF form of your extended abstract. You can also upload the paper by clicking the "My Papers" tab at the top of the screen, and then select the Upload icon on the same row as the name of your paper. The Upload icon (third column from the right) will open a dialog box that will enable you to select and upload the abstract file via the web or via FTP.
  6. After your abstract has been accepted and its time to upload your paper, log in again and click the "My Papers" tab. The Upload icon (third column from the right) will open a dialog box that will enable you to select and upload your paper via the web or via FTP.




IMPORTANT! Submission of abstracts implies the author's willingness to register for the conference and present the paper(s). An accepted paper will be published in the proceedings only if the final version is accompanied by the registration form(s) and fee(s) for at least one of the authors (only full member or non-member fees will be allowed for this purpose) - no exceptions!
